Claims Team Leader (Maternity cover 12 months)

Salary: £25k to £29K

  • Manage and further develop the claims process for all Prevista’s funded programmes.
  • Manage the claims team to ensure claims are submitted on time and without errors
  • To ensure that the business has accurate, relevant and timely management information across all contracts in order to successfully achieve financial and delivery performance targets
  • Data analysis is an essential part of this role giving advice to the SMT to manage risk
  • Successful day to day management of the PICS system to internal reports are available and funders receive claims information on time
  • To be the expert within the business in terms of contractual compliance
  • To ensure that contractual compliance is met as a minimum for each claimable event by Prevista and our partners
  • To lead and manage the claims process for each of our funders
  • To support quality assurance and control including auditing both internal and external


  • Accountable for the claims team and line management support through all its submission of delivery evidence and supporting MI systems in accordance with its funders claim reporting deadlines
  • Ensuring that all new staff are inducted into the claims process
  • Manage all information across the business to support operational performance successfully
  • Reconcile data across the business against data submitted and data accepted by each funder down to each claimable event
  • Manage performance data on SFA contracts in particular to ensure timeliness and completion success rates are within national averages in partnership with the delivery team
  • Act as Lead on Skill Funding Agency MI, having a full understanding of funding rules and keep abreast of regular updates received
  • Act as senior claims officer and manage submission case load in accordance with funders deadlines (SFA, EFA, ESF, GLA, ERDF, BIS and DWP)
  • Ensure that claim submissions are quality checked in accordance with contract eligibility and specification
  • Manage PICS database system, support and development to capture areas of the business in line with both funders and business requirements
  • Information gathering to implement changes to PIC’s systems and update training manuals accordingly
  • Provide training on data on daily basis for all staff and partners as required
  • Manage the error correction process
  • Provide confirmed funder data to the business in order for the correct calculation of invoicing for partners
  • Act as a lead in contract compliance audits carried out by Prevista with internal/external delivery
  • Take responsibility for your Continuing Personal Development including seeking to improve and develop work processes and standards of support
  • Ideas generated, discussed and agreed with colleagues and manager
  • Ideas for improvements implemented, monitored and reviewed
  • Prepare a personal action plan detailing your own training and development needs, and attend training in line with this plan


  • Experience of policies and procedures relevant to the sector and Prevista’s funders and awarding bodies requirements.
  • Effective team management experience
  • Ability to positively influence individuals at all levels
  • Superb communication skills both written and verbal
  • Ability to produce and analyse accurate data reports in order to inform business of current performance.
  • Excellent management of learner information systems including PICS
  • Excellent knowledge of ICT applications as above
  • In-depth knowledge and full understanding of SFA/ESF/BIS funded contracts
  • Good level of knowledge and understanding of DWP, EFA, BIS, GLA and ERDF funded contracts
  • Ability to communicate information to managers, team members, trainers and partners.
  • Strong organisational skills and an ability to co-ordinate the work of others.
  • Good knowledge and application of Microsoft Office products as well as internet/e-mail/web and company bespoke systems
  • IT literate particularly with MS Office
  • High standards of Customer Service
  • Experience/or knowledge of training and the public sector
